This Privacy Policy (“Policy”) explains how WBI Innovations LLC, d/b/a WE BUILD IT (“We Build IT”, “we”, “us” or “our”) collects, uses, shares, and protects personal information when you visit the website webuildit.tech (the “Website”), contact us, work with us, or apply to join our team. By using the Website or providing us with personal information, you acknowledge the practices described in this Policy. Your use of the Website is also governed by our Terms of Use.
1. Who We Are
WBI Innovations LLC, d/b/a WE BUILD IT is a limited liability company registered in the State of Florida, United States, with offices at 8400 NW 36th St, Suite 450, Doral, FL 33166, United States. We provide business-to-business (“B2B”) services, including software development, web and mobile applications, digital marketing, and technology consulting. Where applicable data protection laws distinguish roles, We Build IT acts as the “controller” (or “business”) for the personal information described in this Policy, except as set out in Section 11 (Client Project Data), where we act as a processor or service provider on our client’s instructions.
2. Scope
This Policy covers: (i) Website visitors; (ii) prospects and business contacts; (iii) clients and their representatives; (iv) job applicants; and (v) contractors, vendors, and their representatives. Personal data that our clients provide to us or give us access to for the purpose of developing a project is governed by our client’s privacy notice and by the Master Services Agreement (“MSA”) and Data Processing Addendum (“DPA”) executed with that client (see Section 11).

- Recordings and transcripts: with prior notice and consent, recordings and transcripts of sales calls (including through third-party note-taking and transcription tools) and of Zoom or Google Meet meetings, which may include audio, video, screen sharing, and chat.
- Technical data: IP address, device and browser identifiers and characteristics, operating system, pages viewed, referring source, and general location information inferred from IP address or email engagement.
- Marketing and campaign data: email delivery, open and click data, campaign interactions, and records of consents, opt-outs, and do-not-call requests.
- Candidate data: curriculum vitae (CV), contact details, professional experience, education, and any other information you choose to include in an application submitted through our careers page.
- Contractor and vendor data: business contact information of the representatives, contractors, and suppliers we work with.
We do not ask for, and do not intend to collect, sensitive personal information (such as health, biometric, or financial account data) through the Website. Please do not send us sensitive personal information unless strictly necessary.
4. Sources of Information
We collect personal information: (i) directly from you (forms, emails, calls, meetings, applications); (ii) automatically through the Website (cookies and similar technologies, see Section 9); and (iii) from third parties, including publicly available databases, professional networking sites (such as LinkedIn), B2B prospecting platforms (such as Apollo.io), lead providers, client and business referrals, and other public sources.
5. How We Use Personal Information
- To respond to your inquiries, meeting bookings, and form submissions.
- To prepare proposals, quotations, and contracts, and to provide our services.
- To conduct B2B marketing: we may send commercial emails (approximately one email per week per prospect) from our corporate domains (@webuildit.tech and @wbinnova.com), using our own accounts or email delivery platforms.
- To contact business contacts by phone for commercial purposes.
- To send SMS or WhatsApp messages only with your prior consent (see Section 6).
- To record calls and meetings, with prior notice and consent, for training, quality assurance, and documentation purposes.
- To operate, analyze, secure, and improve the Website and our services, including through analytics tools.
- To advertise our services, including custom audiences and remarketing through advertising platforms.
- To evaluate job applications and manage our recruiting process.
- To manage relationships with contractors and vendors, including executing contracts and NDAs.
- To comply with legal, tax, and accounting obligations, and to establish, exercise, or defend legal claims.
- To protect the security, integrity, and rights of We Build IT, our clients, and third parties.
6. Marketing Communications, SMS/WhatsApp, and Calls
Email: Every commercial email we send includes an unsubscribe link, and you may also reply to any email or write to privacy@webuildit.tech to request removal from our contact list. We maintain a suppression and do-not-contact list in our CRM (Salesforce) and honor opt-out requests promptly.
SMS and WhatsApp: We do not send cold, unsolicited promotional SMS or WhatsApp messages. We only send SMS or WhatsApp communications when we have your prior, documented consent (for example, when you provide your phone number and agree to be contacted by text, or when you ask us to continue a conversation through these channels). Where such communications apply, you may reply “STOP” to opt out, and message and data rates may apply. We also honor opt-out requests received through any channel.
Calls: We may contact business contacts by phone for commercial purposes, using manual dialing or approved telephony platforms. We do not place automated or predictive calls to consumers. You may request that we stop calling you at any time by contacting privacy@webuildit.tech or by telling the caller directly; we will register your request on our do-not-call list.
7. Call and Meeting Recordings
We occasionally record sales calls and Zoom or Google Meet meetings for training, quality assurance, and documentation purposes. Before any recording starts, we inform all participants and request their consent. Recordings may include audio, video, screen sharing, chat, and AI transcription (for example, through third-party note-taking and transcription tools such as Firefly.ai, or the built-in features of Zoom and Google Meet). If any participant does not consent, we will not record, or the participant may join without recording. Recordings and transcripts are stored in company storage with restricted access (such as Google Drive or Dropbox), are accessible only to the sales team and management, and are securely deleted no later than six (6) months after the date of the recording.
8. Artificial Intelligence
We do not use personal information of prospects, clients, or their users to train, tune, or feed artificial intelligence models. We occasionally use AI-powered features of our approved platforms to transcribe or summarize calls and meetings, as described in Section 7. Our personnel and contractors are prohibited from entering client code, credentials, confidential information, or personal data into AI tools that have not been approved by We Build IT.
9. Cookies, Analytics, and Advertising
We use cookies, pixels, and similar technologies operated by Google (Google Analytics, Google Tag Manager, Google Search Console, Google Ads) and Meta (Meta Pixel) for analytics, advertising, remarketing, and custom audiences purposes. Depending on the privacy law applicable to you, the use of advertising cookies and pixels may constitute “sharing” of personal information for targeted advertising; where we provide a cookie preferences tool, you may opt out through it. For more details, please see our Cookie Notice. You may also control cookies through your browser settings and through the preference centers of Google and Meta.
10. Service Providers
We share personal information with service providers that process it on our behalf under contractual confidentiality and security obligations, including: Salesforce (CRM), Google Workspace, Zoom, Google Meet, Slack, Stripe (billing and payments), Mailchimp and SendGrid (email delivery), telephony platforms (such as JustCall, Aircall, or RingCentral), Firefly.ai (call notes and transcripts), Dropbox and Google Drive (storage), Bluehost (Website hosting; migrating to AWS), and Google Ads and Meta (advertising). Some of these providers may be located outside the United States (see Section 14). We may also disclose personal information to professional advisors, in connection with a corporate transaction, or when required by law.
11. Client Project Data
In some projects, our clients may provide us with, or give us temporary access to, personal data of their own users for the purpose of developing, testing, maintaining, or administering a solution. In those cases, We Build IT acts as a processor or service provider acting on the client’s documented instructions: we access such data temporarily and only for the agreed scope, we do not use it for our own purposes, and we do not retain it beyond what is necessary for the project. That processing is governed by the MSA and DPA executed with the client. If you are an end user of one of our clients, please refer to your provider’s privacy notice to learn about its practices and to exercise your rights.
12. Job Applicants
If you apply for a position through our Website, we use your application materials solely to evaluate your candidacy for the position you applied for and, where you consent or where local law allows, for other suitable openings. Applications are retained for up to one (1) year, after which they are securely deleted, unless you request earlier deletion or ask us to keep them for future opportunities. Candidate data is not used for marketing purposes. Applicants may be located in countries other than the United States; where required, local candidate notice provisions apply.
13. Contractors and Vendors
We process the business contact information of contractors, subcontractors, vendors, and their representatives to manage the commercial and contractual relationship, including execution of independent contractor agreements, NDAs, intellectual property assignments, and security obligations. Contractor records are retained in accordance with Section 15.
14. International Transfers
Personal information is processed in the United States and may be transferred to and processed in other countries where We Build IT, its contractors, or its service providers operate, including countries in Latin America where our contractors are located. When we engage contractors or providers located in other countries, we do so under written confidentiality and data protection obligations (including NDAs and, where applicable, contractual clauses or other safeguards required for transfers of personal information from the EEA or the United Kingdom).
15. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy, as follows:
- Prospects with no response: up to three (3) months after the last interaction, after which the prospect record is deleted or anonymized.
- CRM records and business correspondence: up to one (1) year.
- Web form submissions: up to one (1) year.
- Job applications and CVs: up to one (1) year.
- Call and meeting recordings and transcripts: up to six (6) months.
- Contracts, proposals, invoices, and billing records: between three (3) and five (5) years, depending on applicable legal, tax, and claims periods.
- Opt-out and suppression records: we keep a minimal record of your opt-out or do-not-contact request (identifying information and channel) for as long as necessary to honor your request and avoid contacting you again. This record is not used for marketing purposes.
16. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including multi-factor authentication, access controls, encryption, and restricted access based on roles. We maintain an incident response procedure that includes notifying affected clients and taking corrective measures. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
17. Your Rights and Choices
You may submit privacy requests to privacy@webuildit.tech. We may need to verify your identity before responding. You will not be discriminated against for exercising your rights.
United States (Florida and other states)
Depending on the state privacy law applicable to you, you may have the right to know or access the personal information we hold about you, to correct or delete it, to data portability, and to opt out of targeted advertising. We do not sell personal information, and we do not collect sensitive personal information through the Website. To opt out of targeted advertising, use our cookie preferences tool referenced in our Cookie Notice.
European Economic Area and United Kingdom
Although We Build IT does not actively market its services in the EEA or the UK, the Website is accessible from those regions. If you are located there, the legal bases we rely on are: your consent (for example, for marketing emails, SMS/WhatsApp, or non-essential cookies); performance of a contract or steps prior to entering into a contract (for example, responding to your request for a proposal); compliance with legal obligations; and our legitimate interests (for example, B2B prospecting and improving the Website, balanced against your rights). You have the rights of access, rectification, erasure, restriction, portability, and objection, you may withdraw consent at any time, and you may lodge a complaint with your local supervisory authority.
Latin America and other regions
If you are located in a country whose data protection laws grant you rights (such as access, rectification, cancellation, or opposition), you may exercise them by contacting us using the details in Section 20, and we will process your request in accordance with applicable law.
18. Minors
The Website is directed to businesses and to individuals acting in a professional capacity; it is not directed to minors under eighteen (18) years of age (or the higher minimum age applicable in your jurisdiction). We do not knowingly collect personal information from minors. If you believe a minor has provided us personal information, please contact us so we can delete it.
